How to add new students one at a time or in bulk, assign them to classes, and manage their profiles throughout their school career.
AthenaStar tracks every student from admission to alumni. You can admit students one at a time for quick additions, or import hundreds in a single spreadsheet upload when starting out or at the beginning of a new academic year.
Single Admission
Go to Students → New Student. Fill in the required fields: surname, first name, gender, class, and town. Optional but recommended: date of birth, parent/guardian contact, photo, and student ID. Click Save — the student appears immediately in the class list.
Bulk Import
- Go to Students → Bulk Import.
- Click Download Template — open it in Excel or Google Sheets.
- Fill in one row per student. Required columns: Surname, First Name, Gender, Class. Optional: DOB, Town, Parent Phone, Email, Student ID.
- Save as .xlsx and upload. AthenaStar previews the rows before saving — review any highlighted errors and re-upload if needed.
Assigning to Classes & Streams
During admission you pick the class from the dropdown. If your school uses streams (e.g. Class 3A, 3B), assign the stream from the student's profile page under Edit Student → Stream, or use the bulk stream-assign tool.
End-of-Term Promotions
At the end of each academic term, use Students → Promote Students. Select the class you're moving up, choose the destination class, and confirm. Students who did not qualify can be held back individually. Promoted students keep all their history (fees, results, attendance).
Editing & Leaving
Edit any student's profile via Students → View Student → Edit. To mark a student who has left the school, use Move to Left Students — this removes them from active counts but keeps all records. Alumni (finished the school entirely) use Move to Alumni.
