Terms & Conditions
The terms that govern a school's use of the AthenaStar platform.
1. Agreement to These Terms
These Terms & Conditions ("Terms") govern access to and use of the AthenaStar Edu Systems platform ("AthenaStar", "we", "us", "our") by any school, administrator, staff member, parent/guardian, or student ("you") that creates an account or otherwise uses the service. By registering a school, logging in, or using any part of the platform, you agree to be bound by these Terms. If you do not agree, do not use the platform.
2. What AthenaStar Is
AthenaStar is a multi-tenant school management platform: each subscribing school operates its own private workspace covering admissions, fees and billing, academics and report cards, attendance, payroll, canteen, hostel, transport, library, communications, and related administrative functions. A school's data lives in its own dedicated database, separate from every other school on the platform.
3. Accounts & Responsibilities
- School accounts. The person who registers a school ("School Administrator") is responsible for that school's account, for the accuracy of information entered into it, and for controlling which staff, parents, and other users are given access.
- User accounts. Every individual user (staff, parent, or otherwise) is responsible for keeping their own login credentials confidential and for all activity that occurs under their account.
- Accurate information. You agree to provide accurate, current information when creating an account and to keep it up to date.
- Age. The platform is operated by and for schools; accounts are created and managed by adults (school staff and parents/guardians) on behalf of the school and its students, not directly by minors.
4. Subscriptions, Billing & Payment
Access to the platform's paid modules is billed on the subscription plan a school selects at signup or upgrades to later. Fees, billing cycles, and any add-on/premium module pricing are shown in the platform before a school commits to them. Online payments (subscription invoices and, where enabled, parent fee payments) are processed through our payment partner, Paystack — we do not store full card details ourselves. Invoices left unpaid past their due date may result in restricted access to paid features until settled, per the notices shown in the platform at that time. Fees already paid for a billing period are non-refundable except where required by law or expressly agreed in writing.
5. Acceptable Use
You agree not to use the platform to:
- Enter or upload information you don't have the right or a legitimate school purpose to hold (e.g. records for people not enrolled at or employed by the school);
- Attempt to access another school's data, or any account that isn't yours, without authorization;
- Probe, scan, or attempt to circumvent the platform's security, rate limits, or access controls;
- Upload malicious files, or use the platform to distribute spam, malware, or unlawful content;
- Use the platform in any way that violates applicable Ghanaian law or the rights of others.
6. School Data & Ownership
A school retains ownership of the student, staff, financial, and academic records it enters into its workspace. AthenaStar acts as the processor/custodian of that data on the school's behalf, for the purpose of operating the platform — we do not claim ownership of a school's records, and we do not sell or share them with third parties beyond what's described in our Privacy Policy and Data Policy. Platform staff only access a specific school's data when providing requested support, with that access logged.
7. Availability & Changes to the Service
We work to keep the platform available and reliable, but we don't guarantee uninterrupted access — planned maintenance, third-party outages (e.g. hosting, payment gateway), or circumstances outside our control can affect availability from time to time. Features may be added, changed, or retired as the platform evolves; where a change materially affects a school's paid plan, we'll aim to give reasonable notice through the platform or by email.
8. Suspension & Termination
We may suspend or restrict access to a school's account if: payment remains overdue after notice, the account is used in a way that breaches these Terms, or we reasonably believe continued access poses a security or legal risk to the platform or other schools. A School Administrator may close their school's account at any time by contacting support; on request, we will provide a reasonable window to export the school's records before the account and its data are deactivated.
9. Disclaimers & Limitation of Liability
The platform is provided "as is." While we take reasonable care in how it's built and operated, we don't warrant that it will be error-free or uninterrupted. To the fullest extent permitted by law, AthenaStar's liability for any claim arising from use of the platform is limited to the subscription fees paid by the affected school in the 12 months before the claim arose. Nothing in these Terms limits liability where doing so would be unlawful.
10. Changes to These Terms
We may update these Terms from time to time to reflect changes in the platform or applicable law. The "Last updated" date above will change accordingly, and material changes will be highlighted through the platform. Continued use of the platform after an update constitutes acceptance of the revised Terms.
11. Governing Law
These Terms are governed by the laws of the Republic of Ghana, without regard to conflict-of-law principles.
