Initial School SetupAdmin
The first things to configure after your workspace is activated: school profile, terms, classes, and user accounts.
When your workspace is first activated, it's a blank slate. Follow these steps in order to get your school fully configured before admitting students or recording any transactions.
1. School Profile
Go to Settings → School Profile. Upload your school logo (appears on report cards, receipts, and emails), and fill in: school name, motto, address, town, region, phone, email, and Ghana Education Service code (if applicable). Save.
2. Appearance
Go to Settings → Appearance to set your school's colour scheme — this colours the dashboard header and certain UI elements to match your school's branding.
3. Academic Terms
Go to Settings → Terms → New Term. Create each of your school's terms for the academic year (e.g. Term 1 2024, Term 2 2024, Term 3 2024). Set the one that's currently running to Active — all fee assignments and results are linked to the active term.
4. Classes & Streams
Go to Settings → Classes → New Class. Add each class level your school has. If you use parallel streams (e.g. Class 3A and 3B), create the class first, then add streams under Edit Class → Streams.
5. User Accounts
Go to Settings → User Accounts → New User to create accounts for every teacher, accountant, HR officer, and other staff who needs system access. Assign the correct role — AthenaStar restricts each user's access to only what their role allows.
6. Fee Types
Go to Finance → Fee Types to define the kinds of fees your school charges (Tuition, Building Fund, PTA, Feeding, etc.). Then use Finance → Assign Fees to set the amounts per class for the active term.
